Business is getting better, and things are getting busier around the office. You have already decided that you need to upgrade your phone message system. But now, there seems to be so much to consider when you look at the various on hold messaging systems that you are not sure which way to go. Here are some tips to help you make that right choice about the supplier.
Know What They Are Delivering
Different companies may refer to services in similar terms, but the meaning may not at all be the same. For instance - one company may promise to give you 12 messages. What they may mean is 12 messages of about one paragraph each. Another company promising to deliver 12 messages may be referring to 12 5-minute on hold productions with music.
You will also want to ask about the quality of the message before you sign the agreement. Demos and samples are always made to ensure the company looks good. Find out if the actual voice used will be as good as the demo version. You may also want to find out if your advertising on hold messages can be put into Spanish, or another language, too, if you have that language in your area.
Check Quality of Messages
The minute or two that you have with a client on hold could make a large impact on them - if the message is targeted and compelling. Ask for sample messages from the on hold advertising agency of messages that they have done for similar businesses. You want your message to be precise, without fluff, and done in such a way to lead them to ask about it when they do get through.
What About Upgrades of Messages or Music?
Oftentimes, audio-marketing companies may offer package deals of so many messages for so much within a year's time. This is excellent if your company needs a lot of different messages in a year. But if you have a small company, you might be able to save by going with a smaller package deal. Also, find out if you can get your new on hold music and messages by easily downloading the new selections.
Consider The Equipment To Be Used
Overall, digital equipment is better - mainly because it is more durable and has no moving parts, it does cost more initially but will pay for itself over time. It will also work immediately after power is restored from an outage. Machines can develop problems, but you already knew that. But if your on-hold music and messages system dies, or malfunctions, find out how quickly you can either get it repaired or replaced? Also, when you need to change your messages, find out how long it will take for you to get the new messages. Can you simply download the new ones within 48 hours, or will you have to wait for delivery of tapes or discs?
